How does an AI agent book an appointment?

The agent reads your real availability before it opens its mouth. Working hours, appointment types, how long each one takes, buffer time between them, and the minimum notice you accept are all yours to set, and every slot it offers respects them.

Inside the chat, availability arrives as a native WhatsApp interactive list, so the customer taps a time instead of typing one. The appointment is written into your Google Calendar immediately, in both directions, which means a block you add from your phone closes that slot for the agent within the same sync.

Reminders go out automatically 24 hours before and again on the day, with buttons to confirm, reschedule or cancel. When someone reschedules, the original slot is released and the new one is held, and you get notified either way, on WhatsApp and by email.

What it will not do: invent a time. Dates, time zones and open slots are computed on our servers, not by the language model.

Getting paid before the appointment, not after it

If your business takes a deposit or charges up front, the agent sends a payment link the moment the appointment is agreed, while the intent is still hot. The link comes from your own payment provider, Stripe or Bold, and the money goes from your customer straight to you. It never passes through WhatsApp and it never passes through us.

The system tracks each payment as pending, paid or expired, with a deadline you configure. When the provider's webhook confirms the charge, the appointment is confirmed, you get notified, and the deal moves to Won in your pipeline. If the customer says they paid, the agent can accept a manual confirmation, but the provider is always the source of truth.

This is also the honest answer to no-shows: a confirmed deposit is a commitment in a way that a "see you Thursday" never is.

What happens when a lead goes quiet?

Three follow-ups, at 2 hours, at 8 hours and at 48 hours, each one written by AI for that specific conversation instead of pulled from a canned sequence. The one at 48 hours goes out as an approved template, because by then the 24-hour WhatsApp service window has closed and Meta only allows templates.

The sequence respects quiet hours, which default to 8 PM through 8 AM and are yours to change. It cancels itself the moment the person replies or books, so nobody gets a "still interested?" after they already paid.

You can see, per stage, how many follow-ups turned into replies and into bookings, which is the number that tells you whether the second message is worth sending at all.

Coach Mode, or how the agent stops guessing

Every AI agent eventually meets a question its knowledge base cannot answer. Most of them improvise, which is exactly the failure mode that makes business owners distrust this category.

HeySetter does the opposite: it sends you the question on WhatsApp and waits. You answer in one line, the way you would answer an employee, and the answer is stored and used from then on. If you do not know or do not want to answer, you reply "skip" and the lead is escalated to you instead.

It also knows when not to bother you. If it answered the customer well despite low confidence in its own knowledge base, it resolves the question on its own rather than sending you a notification you did not need.

Any conversation can be taken over from the dashboard. The agent stops replying, you speak to the customer directly with the full history in front of you, and when you are done you hand control back and the agent picks up where you left it.
