From zero to a live agent, in 6 steps.
Setting up HeySetter takes 6 guided steps: describe your business, set the agent's tone, connect WhatsApp through the official Meta Business API, connect your Google Calendar, upload your knowledge base, then test and go live. Most of it is filling in what you already know about your business. The slowest part is Meta's approval of your WhatsApp number, and the setup wizard walks you through it.
- Step 1
Describe your business
- What you type
- your business name, what you sell, and a short description in your own words. Whether you take appointments, sell products, or both.
- Time
- about 5 minutes.
- What HeySetter does for you
- builds the first version of your agent's instructions from what you wrote, so you are never staring at an empty prompt.
- Step 2
Set the tone
- What you choose
- how your agent speaks. Formal or casual, short answers or detailed ones, how it greets people, what it never says.
- Time
- about 5 minutes.
- What HeySetter does for you
- applies the tone across both languages, so your agent sounds like the same business in English and in Spanish.
- Step 3
Connect WhatsApp
- What you connect
- your WhatsApp number through the official Meta Business API. You need a Meta Business account and a phone number that is not currently active in the consumer WhatsApp app.
- Time
- 15 minutes of your work. Meta's verification can take longer and is out of anyone's hands.
- What HeySetter does for you
- guides the connection screen by screen, submits your message templates for approval, and tells you exactly what Meta is waiting on.
- Step 4
Connect your calendar
- What you connect
- your Google Calendar, through a standard permission screen. Then your working hours, appointment types and how long each one lasts.
- Time
- about 10 minutes.
- What HeySetter does for you
- reads your real availability from that point on, respects buffers and minimum notice, and writes every booking back into the calendar in both directions.
- Step 5
Upload your knowledge
- What you upload
- price lists, service descriptions, FAQs, PDFs, DOCX files, plain text, or just your website URL. The crawler reads the site for you.
- Time
- 10 to 20 minutes, depending on what you have ready.
- What HeySetter does for you
- indexes everything so the agent answers with your information instead of generic AI answers. There is no size limit on the knowledge base.
- Step 6
Test it, then go live
- What you do
- chat with your own agent from your phone the way a customer would. Ask the awkward questions. Try to book something. Try to break it.
- Time
- about 15 minutes.
- What HeySetter does for you
- shows you every message and every action it took in the dashboard, so you can fix the tone or add a missing answer before a real customer sees it.
What do I need before I start?
Three things, and you probably have two of them already.
A Meta Business account, which is free and takes minutes to create if you do not have one. A phone number that will belong to your agent, which cannot be a number currently active in the regular WhatsApp app. And whatever you already use to explain your business: a price list, a services page, the answers you send customers over and over.
You do not need a developer, a server, or a credit card to start. The 7-day trial gives you every feature with no card.
How long does it really take?
The parts that depend on you add up to roughly an hour, spread across the 6 steps. Most people finish in one sitting.
The part that does not depend on you is Meta. Business verification and WhatsApp number approval run on Meta's timeline, not ours, and they vary by country and by how complete your business information is. That is the honest answer, and it is why step 3 is the one we walk you through most closely.
What happens after you go live?
Your agent starts answering in under 30 seconds, day and night, in whichever language the customer writes in.
Three things then keep improving it without you sitting down to configure anything. Coach Mode asks you on WhatsApp when it hits a question your knowledge base does not cover, and it stores your answer for next time. The dashboard shows you every conversation, so you can take one over with one click whenever you want to speak yourself. And your analytics show which follow-ups work, where leads drop out, and how often the agent handled a conversation on its own.
What if I get stuck?
Coach Mode covers the most common case, which is the agent not knowing something about your business: you fix that by replying to a WhatsApp message, not by editing settings.
For everything else there is support from inside the dashboard. And if your operation is complex enough that you would rather not do the setup at all, Setter Premium includes assisted onboarding and training for your team, with a dashboard our team runs for you. That one is priced for your company on a call.
Frequently asked questions
No. The setup is a guided wizard with forms, toggles and a connection screen for WhatsApp and Google Calendar. If you can set up a business page on social media, you can set up your agent. The technical work happens on our side.
Only if it is not currently active in the regular WhatsApp or WhatsApp Business app. A number can live in one place at a time. Many businesses move their existing number over, and others start with a new one and forward traffic to it.
Give us your website URL and the crawler reads it. You can start with that plus a short description, then add PDFs and price lists later. Coach Mode fills the gaps as real customers ask real questions.
Any time, from the dashboard, and the change applies to the next message. Tone, instructions, appointment types, working hours, payment settings and templates are all editable while the agent is running.
Nothing is charged automatically, because the trial does not ask for a card. If you want to keep going, you add a payment method and the plan is $350 per month. If you do not, your agent simply stops and your data stays yours.
